flowstackONE ("flowstackONE", "we", "us", "our") builds vertical AI software for independent businesses. InkDesk — our AI receptionist for tattoo studios — is our first product. It answers calls and messages on behalf of the studios that subscribe, books appointments, and sends summaries to the studio owner.
This policy covers two groups of people: studio owners and staff who sign up for InkDesk or contact us through this website, and callers and message senders whose enquiries InkDesk handles on a studio's behalf. Where a studio uses InkDesk to serve its own customers, the studio is the controller of that customer data and flowstackONE acts as its processor.

We collect only what we need to run the service and respond to you.
We do not knowingly collect special-category personal data. Please don't send us sensitive information (health, biometric, political, and so on) through our forms or messages.

- Provide InkDesk — answer calls and messages, book appointments, and send you post-call summaries.
- Set up and support your account — onboarding, configuration, troubleshooting, and responding to your requests.
- Communicate with you — service updates, setup calls, confirmations, and replies to your enquiries.
- Billing — manage your subscription and process payments.
- Improve the service — understand how features are used and make InkDesk work better. We use aggregated or de-identified data for this wherever possible.
- Legal and safety — comply with law, enforce our terms, and prevent fraud or abuse.
Where the law requires a legal basis (for example under the GDPR), we rely on performance of our contract with you, our legitimate interests in running and improving the service, your consent where asked, and compliance with legal obligations.
04 / 13Calls & messages InkDesk handles
InkDesk works by answering the phone and messages for a studio. To do that it processes the caller's phone number, what they say or type, and any booking details, and it generates a recording, a transcript, and a summary for the studio owner.
When you call or message a studio that uses InkDesk, you're speaking with an AI receptionist acting for that studio. The studio decides how your enquiry and booking are used and how long they're kept. To access or delete that information, contact the studio directly — or reach us and we'll route your request to the right studio.
Studios are responsible for telling their own callers that calls may be answered and recorded by an automated assistant, and for having a lawful basis to do so in their location.
05 / 13Who we share with
We don't sell your personal data and we don't share it for advertising. We do use trusted service providers who process data on our behalf, under agreements that limit them to providing their service to us:
- Cloud & database hosting — to store account, onboarding, and service data securely.
- Messaging providers — WhatsApp / Meta and our Business Solution Provider, to send and receive messages and summaries.
- Voice & AI providers — telephony and speech / language processing that power the receptionist.
- Geolocation — an IP-lookup service used only to detect your country and show local pricing.
- Payment processing — to handle subscriptions and payments.
We may also disclose data where required by law, to protect our rights or the safety of others, or as part of a business transfer (such as a merger or acquisition), in which case we'll ensure it stays protected.
06 / 13How long we keep it
We keep personal data only as long as we need it for the purposes above. Account and billing records are kept while you're a customer and for a reasonable period afterwards to meet legal and accounting obligations. Call recordings, transcripts, and summaries are retained according to your studio's settings and our operational limits, then deleted or de-identified. When you close your account, we delete or anonymise your data unless we're required to keep it.

We use technical and organisational measures appropriate to the risk — including encryption in transit, access controls, and hosting with reputable providers. No system is perfectly secure, but we work to protect your data and to limit who can access it. If a breach affects your personal data, we'll notify you and the relevant authorities where the law requires.
08 / 13Your rights & choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, contact us using the details below — we'll respond within the timeframe the law requires and may need to verify your identity first.
You can opt out of marketing messages at any time by replying STOP or using the unsubscribe option. Opting out of service messages (like booking confirmations) may affect how InkDesk works for you.
09 / 13Cookies & similar tech
Our website uses a small number of cookies and similar technologies to make the site work and to understand how it's used. We also make a one-time lookup of your approximate location to display pricing in your local currency. You can control cookies through your browser settings; blocking some may affect how parts of the site behave.

We and our providers may process data in countries other than your own. Where we transfer personal data across borders, we use appropriate safeguards — such as standard contractual clauses or equivalent protections — to keep it protected to the standard described in this policy.

Our services are intended for businesses and adults. InkDesk and this website are not directed at children, and we don't knowingly collect personal data from anyone under 18. Tattoo studios remain responsible for their own age and consent requirements. If you believe a child has provided us data, contact us and we'll delete it.

We may update this policy as our services or the law change. When we do, we'll revise the "last updated" date above, and for significant changes we'll give notice through the service or by email. Your continued use of InkDesk after an update means you accept the revised policy.
